Sync with My External Calendar System

You can connect your SolarNexus user account to your Google, Microsoft or Apple calendar in order to post and view your SolarNexus scheduled events on your external calendar and see your busy/free times from the SolarNexus scheduling dialog.

Benefits:

  • Two-way sync. When event times are updated in SolarNexus, they’ll update on your calendar. And if you reschedule a SolarNexus event on your calendar, the event will get updated in SolarNexus.
  • Centralized scheduling. When using the SolarNexus scheduler to schedule appointment times, you will be able to see the busy/free times for all team members who have connected their calendars.
  • Easy access to customer info. SolarNexus-based events on your calendar include the customer name and contact info for easy access on the go.

How It Works:

  • To get started, go to your user profile and click Connect SolarNexus to My Calendar. You'll be asked to authorize access to your calendar, and, if you have more than one calendar in your Google or Microsoft account, select the calendar to connect. See the Calendar Connection Process section below for a step-by-step example. Once your calendar is connected, your assigned scheduled milestones (going back 30 days) will be added to your calendar.
  • To help you see who in your organization has connected their calendar, the scheduler grid view shows a "sync" icon next to the names of everyone with a connected calendar.
  • For teammates with a connected calendar, the scheduler shows your teammate's busy times blocked out in gray. These represent your teammate's "other" calendar appointments scheduled from outside of SolarNexus. You won't be able to see what your teammate’s non-SolarNexus-managed calendar appointments are, those time slots will just show as "Busy" in the scheduler. (Note: if an appointment on your Google or Microsoft calendar is marked as "Show as Free", it will not show up as a busy time in the SolarNexus scheduler.)
  • You can disconnect your calendar from SolarNexus at any time, but keep in mind that when you do, all SolarNexus-managed events will be removed from your external calendar.
  • When a SolarNexus user account is deactivated, all SolarNexus events are automatically removed from that user's connected calendar.

 

Calendar Connection Process

  1. Go to your User Profile, click Connect SolarNexus to My Calendar.

  2. Select your calendar provider. For this example, we'll choose Google and show the authorization flow for Google, but other providers have a similar flow. (Note: You'll see reference to Cronofy in the authorization process. Cronofy is a trusted, third-party service that SolarNexus uses internally to access external calendars. From your calendar provider's point of view, you are actually authorizing Cronofy to access your calendar on behalf of SolarNexus).

  3. If you have more than one account with your calendar provider, select the account to use. Jane Smith, our example user, has two Google accounts. We'll select jane.smith@example.com.

  4. If not already logged in, enter your calendar account credentials. This step takes place on Google's web site, not SolarNexus. Neither SolarNexus nor Cronofy ever sees or stores your Google password. The same for Microsoft and Apple calendars.

  5. Now click Allow to tell Google that you authorize SolarNexus (via Cronofy) to access your account. 

  6. After authorizing access, you should see the "Authentication successful" message back on SolarNexus. If you only have a single calendar in your calendar account, simply click OK to confirm. Otherwise, if you have multiple calendars in your account, select the calendar you want to connect to and click Save.

  7. Finally, you're returned to your User Profile, and the Calendar Integration section should show the name of the calendar you've connected. It may take a minute or two for your existing scheduled events in SolarNexus to sync to this calendar and for the busy/free data from the calendar to sync back to SolarNexus. 

You can come back to this page to manage your calendar integration at any time. Click Edit to view or change the integration details, such as selecting a different calendar to connect. Click Disconnect My Calendar to stop syncing scheduled events to your calendar. All SolarNexus events will be removed from your calendar. (If you later change your mind after disconnecting, you can always reconnect your calendar again.)

Fixing Sync that Stops Working

On rare occasions, your external calendar could stop syncing with SolarNexus. If this occurs, go to your profile screen and click the "Disconnect My Calendar" button. Then click the "Connect My Calendar" button and re-authorize SolarNexus to connect to your calendar on your behalf. After a few minutes, your calendars should be re-synchronized.
