Scheduling and Calendar Views

You can use SolarNexus to schedule a variety of events throughout your defined process. Scheduled events are represented by tasks (Milestones, Subtasks, Additional Items/Tasks). You can use the Scheduler to schedule regular process milestone events including:

  • Sales Appointments
  • Site surveys
  • Installations
  • AHJ Inspections

Using Scheduler

The video below illustrates the simple process when scheduling a Sales Appointment. The same process occurs for scheduling any events.

Details about the Milestone Completion Dialog:

  • If a milestone results in a scheduled event (i.e. has Results in a scheduled event checked in its configuration options), the completion dialog will prompt the user to schedule the start time for the upcoming scheduled milestones listed under the Schedule Milestones Upon Completion list in the milestone's configuration.
  • If a scheduled milestone in the Schedule Milestones Upon Completion list is marked as User MUST enter a date, the scheduled start time is displayed as a required field and a value must be entered in order to complete the dialog.
  • If upcoming scheduled milestone has a default relative start time, the dialog pre-populates the scheduled start date/time by adding the number of days to the current time.
  • If upcoming scheduled milestone has a duration, the dialog pre-populates the duration with the default milestone duration.
  • If upcoming scheduled milestone has a deadline, dialog displays the deadline beneath the scheduled start date/time fields in gray, e.g. "Deadline: 7/31/2017".
  • To specify the date and time for an upcoming event, click on either the Scheduler or Calendar widget icon. Using the Scheduler widget allows you to see availability of users, whereas the Calendar widget is limited to only picking a date/time.

 

Details about the Milestone Scheduling Dialog:

  • User reaches this dialog by clicking to edit the scheduled time OR assigned owner for a scheduled milestone wherever the scheduled time / owner is displayed. (For scheduled milestones, it makes sense to always edit the owner and scheduled time together, and the Scheduler widget will set both the scheduled time and owner.)
  • User can only reach this dialog if they own the milestone or have permission to assign the milestone to self/others.
  • Dialog allows user to edit the milestone scheduled date/time by clicking on the desired time. User can modify the event's duration by clicking and dragging size of event over calendar's time.
  • If user has permission to assign the milestone to others, dialog allows user to edit the milestone owner, otherwise it just displays the current owner (which will be the current user).
  • When you reschedule a scheduled milestone, the milestone owner is notified of the new start date.

Once an event is scheduled, its date and time are reflected on the milestone in the Next Steps of the project's Status panel as shown below. Clicking on the date and time will open the Update Scheduled Task dialog, from which you could again employ the scheduler.

Tasks Screen

  • For scheduled milestones, the Scheduled / Due column shows the scheduled time. The calendar icon is always displayed. If the start time is populated, it is displayed, otherwise it says "unscheduled" in italics. The icon and start time link to the Edit Scheduled Task dialog (if user owns milestone or can reassign it). If the start time is in the past, the icon and date are shown in red.
  • For non-scheduled milestones, the Scheduled / Due column shows the deadline, if any, preceded by a gray or red bell icon (same as used in the Project Status module).
  • If a milestone has both a scheduled time and deadline, only the scheduled time is displayed.
  • When sorting by Scheduled / Due date, tasks are sorted by the scheduled time for scheduled milestones, if available, otherwise by the due date.
  • The Timing filter has the following options for controlling which scheduled milestones you see:
    • All - show both non-scheduled milestones and scheduled milestones
    • Scheduled - shows only scheduled milestones with a scheduled start time populated
    • Unscheduled - shows only scheduled milestones with no scheduled start time populated (i.e. all milestones where the Scheduled / Due column shows a calendar icon with "unscheduled")
    • Overdue - shows scheduled milestones where scheduled start time is in the past and non-scheduled milestones that are overdue (i.e. all milestones where the date in the Scheduled / Due column is red)

My Tasks Module on Dashboard

  • The Scheduled / Due column behaves the same as the Scheduled / Due column on the Tasks screen
  • The My Sales Opportunities with Overdue Milestones and My Installs with Overdue Milestones groups include both non-scheduled milestones past their deadline and scheduled milestones with scheduled start time prior in the past. These modules highlight milestones requiring your attention - either the deadline or event was missed or the owner forgot to mark them complete.s
  • The My Sales Opportunities with Unscheduled Milestones group includes scheduled milestones with no scheduled start time populated, where project sales owner is current user and milestone is assigned to another user. (If the milestone were assigned to current user or unassigned, it would appear in an earlier group.) This group highlights milestones requiring your attention - a required event is in need of scheduling.
  • The My Installs with Unscheduled Milestones group similarly includes scheduled milestones with no scheduled start time populated, but where project manager is current user and milestone is assigned to another user.

Calendar View

The Calendar View on the Tasks screen and My Tasks module displays scheduled tasks (milestones and subtasks), as well as task deadlines (for milestones and subtasks) on a calendar. You can flip between Day, Week, Month or List (Agenda) view. Each milestone is displayed in a different color which can be configured on the milestone configuration page.

If you have permission to update milestone schedules / deadlines, you can easily reschedule events and change deadlines by dragging and dropping events on the calendar. Similarly, for scheduled milestones that have durations, you can change the duration by dragging the bottom of the event down to the new end time. Deadlines and scheduled milestones without duration are shown as 1-hour events on the calendar and you cannot change the duration.

If you click on an event, you'll see a popover with milestone details and buttons for Editing and Completing the milestone.

By default, the calendar only shows scheduled milestones that have not yet been completed. To see completed scheduled milestones as well, check the Show Completed checkbox at the top.

To see only scheduled milestones or only deadlines, select the corresponding option from the Show Events filter.

Sync with External Calendaring Systems

You can connect your SolarNexus user account to your Google, Microsoft or Apple calendar in order so that SolarNexus can add events created in SolarNexus to your external calendar, and to see your availability from your external calendar when creating a new event within SolarNexus.
